Ice cream party meeting notes, July 17, 2008
Thanks you to everyone who attended the meeting last Thursday night to plan the Dreyers Ice Cream Event. There were 13 present and we accomplished a lot in just a little over 1 1/2 hours. Thank you also to those of you that volunteered in advance to help out in some capacity but were not able to attend the meeting. Finally, thanks to Barb and Bob Simpson for hosting the meeting in their home.
Here is a recap:
The date for the event is Saturday, October 11th. from 4-6pm.
Ellen Perkins has graciously offered to host the event in her yard at 3018 N 15th Drive.
Information about the event will be included in the next newsletter, and individual invitations will be distributed throughout the neighborhood. Ice Cream and most serving supplies will be supplied by Dreyers. NENA will supply various toppings and table coverings. NENA residents are requested to bring a dessert item to share.
(By the way, we also set the date of the SUPER BLOCK SALE for the following Saturday, October 18th. Specifics on this event to follow at a later date. Start collecting your treasures!)
We delegated as many responsibilities out as we could think of to insure that the event would be a great success, but not place to large a burden on just a few people. Following is a list of everyone that has consented to help out.
Co-chairs of the event: Mike Sanders, Ellen Perkins
Storing the ice cream and supplies: Deanna Fusco, Barb Simpson
(Barb promises not to eat any of the ice cream before the event.)
Publicity: Deanna Fusco, Lisa Poulin, Ginger Baron.
Acquiring prize donations: Ginger Baron, Nicki Kirkeby
Beverages & Ice: Kristi Olsen, Gary Hyndman, Barb Simpson
Tables and Chairs: Barb Simpson, Mike Sanders, Bill Schleisman, Stephanie Ringler
PA system, table coverings: Mike Sanders
Information table: Ellen Perkins
Garbage/recycle cans: Barb Simpson, Mike Sanders
In addition to the above, we discussed possible decorations and/or entertainment or an activity, but nothing concrete was decided. We also questioned whether or not we will have to block off the street, but for now we think not. There was concern about the ice cream getting freezer burn, but it was confirmed that if the cartons are not opened and kept in a deep freeze, they will be OK if stored until October. We also discussed having the event at the Encanto Club House, but nixed the idea due to the new fee and problems with the number of people that might attend. Finally, we still need tables and chairs for 40-50 people. If you can help out there, please let us know.
If anyone has any ideas relating to these items or anything else having to do with this event, or would like to volunteer OR know someone who would like to volunteer, please contact the person(s) responsible for that item. If you have an idea or concern not covered here, please contact Mike Sanders or Ellen Perkins.
If we all pitch in and each do a little, no one will have to do a lot, and the event can be fun for all.
Keep Cool, Mike Sanders
